Additional privacy notice for Microsoft Teams

What information do we collect and how do we use it?

We use Microsoft Teams to hold online meetings (conference calls, online presentations, webinars).

When you use Microsoft Teams in communicating with Dstny, the following personal data may be processed:

  • User Information (first name, last name, telephone, email address, password, profile picture, department)
  • Data about the Meeting (topic, appointment, IP address, device/hardware information)
  • Connection/Telephone data (incoming/outgoing phone number, country name, start/end time

When using the chat or other similar function in a Teams meeting, the text entries you make are processed to display them in the online meeting, and if necessary, to log them.

Audio and video recordings may be made during a meeting. This is communicated during the meeting. You can turn off the camera or microphone at any time through the Microsoft Teams user interface.

During webinars, Dstny will usually mute all participating from the state of the meeting, unless it is otherwise agreed to by all participants in advance of the webinar.

Automated decision-making or profiling is not used.

What is the legal basis for processing?

When processing Dstny employee data on Microsoft Teams, Article 88 of the General Data Protection Regulation (GDPR) constitutes the legal basis for processing that data.

If Dstny must process personal data, for example if Microsoft Teams requires it to do so in order for Teams to function properly, Dstny’s legitimate interest in effective implementation of online meetings is the legal basis for processing that data.

If Dstny engages a speaker for an online meeting, the legal basis for processing is generally a contract between Dstny and the speaker. If there is no contract, the legal basis for processing is Dstny’s legitimate interest in effective implementation of online meetings.

Who else besides Dstny may receive the information?

Unless it is intended, generally, personal data processed during online meetings are not transmitted to third parties. Content from online meetings is often used to communicate information to customers or other interested parties and thus is intended to be transmitted to those third parties. Additionally, third parties can participate in the online meeting and thus have access to the personal data.

This data may be processed outside the European Union

Microsoft Corporation is a service provider located in the United States; therefore the processing of personal data may take place outside the European Union.

If you download Microsoft Teams software, Microsoft Corporation is responsible for data processing.

Microsoft Teams can also be used if you enter the appropriate meeting ID and other meeting access information directly into the Microsoft Teams mobile application.

If you do not want or cannot use the Microsoft Teams mobile application, the basic functions can also be used via a browser version, which you can find on the Microsoft Teams website. The privacy policy of Microsoft Teams can be found at https://privacy.microsoft.com/en-gb/privacystatement.

We will then reply to you within the legally stipulated deadline, after valid identification.
